Employee forms read, checked and in the HCM, with SSNs never in a public model

HR runs on forms: tax withholding, onboarding packets, benefits elections, payroll changes, many of them still filled in by hand. FuseAIs reads them from PDF, scan or phone photo, tokenizes SSNs, salaries and addresses before any public model is involved, and writes validated records to your HCM through a governed gateway.

Why it's hard today

A W-4 filled in by hand, a benefits form photographed on a phone, a payroll change emailed as a scan: each one is retyped by someone in HR, and each one holds the data a company can least afford to leak. Generic AI assistants are off the table for exactly these documents.

How it works on FuseAIs

The same pipeline runs whichever model you route to, with PII tokenized before public models see it.

  1. Read the blank form

The field names come straight from your form, so there is nothing to configure per template.

  2. Read the filled copy

Typed, scanned or handwritten, one page at a time, with a confidence on every value.

  3. Tokenize the sensitive fields

SSNs, dates of birth, salaries, bank details and addresses become reversible tokens; public models never see the PII.

  4. Validate and review

Missing, low-confidence and handwritten values are flagged for a quick check by HR, and a photo ID submitted at onboarding is verified against the form.

  5. Write, fill and retain

Records go to your HCM through the gateway, the filled PDF comes back for the file, and a retention period is stamped on the record.

What you get

  • Handwritten and photographed forms handled alongside digital ones
  • SSNs, salaries and bank details kept out of public models
  • Records validated, and photo IDs verified, before they reach payroll
  • A retention period on every employee document
